Collaborate with your team through shared organizations

What is an Organization?

An Organization is a collaborative workspace in LaikaTest that allows teams to work together on projects, prompts, and experiments. Organizations enable centralized management of resources while maintaining clear access control and role-based permissions.

Organization Structure

Organizations provide a hierarchical structure for team collaboration:

Organization
Top-level entity that contains members, projects, and shared resources
Members
Team members who have access to the organization with specific roles and permissions
Projects
Projects created under the organization are accessible to all members based on their role
Prompts & Experiments
All prompts and experiments within organization projects are shared across the team

Creating an Organization

To create an organization:

  1. Navigate to the Organizations section in your dashboard
  2. Click "Create Organization"
  3. Enter an organization name and description
  4. Configure initial settings and billing (if applicable)
  5. Click "Create" to finalize

Note: The user who creates an organization automatically becomes the organization owner with full administrative privileges.

Organization Roles

Organizations support role-based access control with the following roles:

Owner
Full administrative access to the organization. Can:
  • • Manage all organization settings and billing
  • • Add, remove, and manage member roles
  • • Create, update, and delete projects
  • • Manage prompts, experiments, and all resources
  • • Transfer or delete the organization
Admin
Administrative access with most privileges. Can:
  • • Add and remove members (except owners)
  • • Create and manage projects
  • • Manage prompts and experiments
  • • View organization analytics and usage
  • • Configure organization settings (except billing)
Member
Standard access for team collaboration. Can:
  • • View all organization projects
  • • Access and use prompts and experiments
  • • Create and manage their own prompts
  • • Run experiments and view results
  • • Generate API keys for project access
Viewer
Read-only access for monitoring and observation. Can:
  • • View organization projects and prompts
  • • See experiment configurations and results
  • • Access analytics and reports
  • • Cannot create, modify, or delete any resources

Inviting Team Members

To invite members to your organization:

  1. Go to your organization settings
  2. Navigate to the "Members" or "Team" section
  3. Click "Invite Member"
  4. Enter the email address of the person you want to invite
  5. Select their role (Owner, Admin, Member, or Viewer)
  6. Click "Send Invitation"

The invited person will receive an email invitation with a link to join the organization. Once they accept the invitation, they will have access to all organization resources based on their assigned role.

Best Practice: Assign roles based on the principle of least privilege. Start with lower permissions and upgrade as needed. You can always change member roles later.

Joining an Organization

When you receive an organization invitation:

  1. Check your email for the invitation from LaikaTest
  2. Click the "Accept Invitation" link in the email
  3. If you don't have an account, you'll be prompted to create one
  4. If you're already logged in, you'll be added to the organization immediately
  5. Access the organization from the organization selector in your dashboard

Working with Organization Projects

Once you're part of an organization, you can access and work with organization projects:

  • Viewing Projects: All organization projects are visible to members based on their role
  • Creating Projects: Admins and Owners can create new projects within the organization
  • Accessing Prompts: Members can view and use all prompts within organization projects
  • Running Experiments: Members can create and manage experiments using organization prompts
  • Viewing Analytics: All members can access analytics and performance metrics for organization resources

Organization vs Personal Workspace

Understanding the difference between organization and personal resources:

Personal Workspace
  • • Projects are private to your account only
  • • No collaboration features available
  • • Suitable for individual projects and testing
  • • You have complete control over all resources
Organization Workspace
  • • Projects are shared with all organization members
  • • Team collaboration with role-based access control
  • • Centralized management and billing
  • • Suitable for team projects and production use

Managing Organization Members

Organization owners and admins can manage team members:

  • Changing Roles: Update member roles at any time from the members page
  • Removing Members: Remove members who no longer need access (their personal work remains unaffected)
  • Viewing Activity: Track member activity and contributions through audit logs
  • Resending Invitations: Resend invitation emails if they were not received

Warning: Removing a member from an organization will revoke their access to all organization projects, prompts, and experiments immediately. They will not be able to recover organization resources.

Switching Between Organizations

If you're a member of multiple organizations:

  1. Look for the organization selector in the top navigation bar
  2. Click on the current organization name
  3. Select the organization you want to switch to
  4. The dashboard will update to show that organization's resources

You can also access your personal workspace by selecting "Personal" from the organization selector.

Best Practices

  • Clear naming: Use descriptive names for organizations that reflect your team or company
  • Role assignment: Assign appropriate roles based on responsibilities and required access levels
  • Regular audits: Periodically review organization members and remove those who no longer need access
  • Project organization: Create separate projects for different products or environments within the organization
  • Documentation: Document your organization structure and member responsibilities in the description fields
  • Communication: Keep team members informed about changes to projects, prompts, and experiments

Organization Settings

Organizations can be configured with various settings:

  • General Settings: Organization name, description, and branding
  • Member Settings: Default role for new members, invitation expiration
  • Billing Settings: Payment methods, subscription plans, and usage limits (Owner only)
  • Security Settings: Two-factor authentication requirements, IP whitelisting
  • API Settings: Organization-wide API rate limits and restrictions
